This Privacy Policy explains how ReTribe Collective s.r.o. ("ReTribe", "we", "us", "our") collects, uses, shares, and protects your personal information when you use the ReTribe App, visit retribecollective.com, or otherwise interact with us. It applies to players, coaches, officials, parents, and anyone else who uses ReTribe. 

This Policy should be read alongside our Terms and Conditions. Where the two documents overlap, this Policy governs how your data is handled. 

Our Privacy Promise 

Before the legal detail, here is what matters most to us. 

ReTribe exists outside of teams, clubs, leagues, federations, and workplaces. We are not an arm of any of them, and we never report what happens inside a Tribe back to any club, coach, league, federation, employer, or parent. What you share in your check-ins, your Tribe chat, and your conversations within ReTribe stays within ReTribe. That independence is the whole point. People only open up when they trust that what they say will not travel back to the people who hold power over their place on a team or in a workplace. 

There is one exception, and we want to be completely upfront about it. If we believe someone is at risk of serious harm to themselves or to another person, a trained member of our team may contact emergency services or another appropriate authority to help keep that person safe. This is a safety measure, not a reporting mechanism, and it is used only where there is a genuine and serious risk of harm. The full detail of how this works is set out below in the section called "Where we may need to involve others." 

Everything else in this Policy is the legal mechanics of how we collect, store, and protect your information so that promise actually holds up in practice. 

1. Who we are 

ReTribe Collective s.r.o. is the data controller responsible for your personal information. We are registered in the Czech Republic under company number 23473991, with our registered office at

4713 Kriby, Zlín, Czechia, 760 05. We work alongside ReTribe CIC, our UK community interest company, registered in the UK under company number 12014957, on delivery and partnerships in the UK.

2. What this Policy covers 

This Policy covers personal information collected through the ReTribe App, our website, our social channels where you interact with us directly, and any in-person ReTribe activity such as Culture Camps, Retreats, or Roadshows where we collect your details. 

3. The information we collect 

Account information. When you register, we collect your name, email address, date of birth, and a password. If you sign up through a club or federation licence code, we also record that code to confirm your access. 

Onboarding and profile information. During onboarding you answer three questionnaires covering life experiences, interests, and personality and Tribe type. Some of these answers may touch on sensitive personal matters, including aspects of your mental health and wellbeing. We treat this as special category data under data protection law and only collect it with your explicit consent, used solely to match you into a Tribe and to personalise the support we offer you. 

Tribe activity. This includes your Tribe chat messages, your daily check-ins, the goals you set and track, and anything else you share within your Tribe. 

SOS and safeguarding interactions. If you use the SOS support screen, we record that this happened so we can follow up appropriately and keep a safe record in case of any future safety concern. 

Calendar and app usage. Information about how you use the App, including calendar entries you create, pages you visit, and general usage patterns. 

Technical information. Device type, operating system, app version, IP address, and crash or error logs, collected automatically to keep the App running properly. 

Communications. Any messages you send us directly, for example through our support contact or social channels.

Information from third parties. If a club or federation arranges your access through a licence code, they may pass us limited information to set up your account, such as your name and email address. We do not receive your in-Tribe content from them, because they never see it in the first place.

All communication within a Tribe must be conducted with respect, understanding and honesty. Users agree not to use hate speech, discriminatory language, harassment or any form of harmful or abusive language when engaging with other members. Members must not instruct, direct or tell another member what to do. All input shared within a Tribe should be offered only as a suggestion or consideration, expressed with understanding and empathy, for the receiving member to accept, adapt or decline as they see fit. Breach of this clause may result in suspension or removal from the Tribe and, where appropriate, the platform.

5. Special category data 

Some of what we collect, particularly within onboarding and within your Tribe, may reveal information about your mental health, your emotional state, or other sensitive aspects of your life. We only process this information with your explicit consent, and we use it strictly for the purpose of matching you into a supportive Tribe and providing you with relevant content and support. We do not use it for advertising, we do not sell it, and we do not pass it to any club, coach, federation, league, or employer.

6. Where we may need to involve others 

This is the one limit on the promise we make above, and we want to be direct about it rather than bury it in small print. 

If a member of our team believes there is a serious and genuine risk that you, or someone else, may come to harm, we may need to contact emergency services, a crisis support service, or another appropriate authority. This could happen, for example, if something shared in a check-in or a Tribe conversation gives us real cause for concern about someone's immediate safety. 

When this happens, we will: 

- only share what is necessary to get that person help, 

- only act where there is a genuine and serious safety concern, not as a routine matter, and 

- never use this as a route to inform a club, coach, employer, or federation about something that does not involve a genuine risk to safety. 

We know this matters to people because trust is the entire foundation of what ReTribe is. We have built this exception as narrowly as we responsibly can, while still being honest that it exists, because we would rather tell you plainly now than have you discover it later. 

7. Who we share your information with 

We do not sell your personal information, and we do not share it with advertisers. 

We work with a small number of trusted service providers who help us run the App and our organisation, including: 

- Koala42, our app development partner, who has access to data as needed to build, host, and maintain the App. 

- Cloud hosting and infrastructure providers, who store our data securely. - Analytics and crash reporting tools, currently assumed to be Firebase Analytics and Firebase Crashlytics, used to understand how the App is performing and to catch and fix bugs. 

- Payment or licensing administration providers, if relevant to processing club or federation licence codes. 

These providers are only permitted to use your information to provide services to us, under contractual data protection terms, and not for their own purposes.

We may also disclose information where required by law, to protect the rights, property, or safety of ReTribe, our users, or others, or as described in Section 6 above. 

If ReTribe is ever involved in a merger, acquisition, or restructuring, your information may be transferred as part of that process, subject to the same protections described in this Policy. 

8. International data transfers 

Your information is primarily stored and processed within the European Economic Area, with our current working assumption being AWS infrastructure based in Frankfurt, Germany. If we or our service providers ever transfer your information outside the EEA or UK, we will ensure appropriate safeguards are in place, such as Standard Contractual Clauses, to keep your information protected to the same standard. 

9. How long we keep your information 

We keep your information for as long as your account is active. Once an account is deleted, here is how long we currently expect to retain each category of information: 

- Account and profile information: deleted or anonymised within 90 days. - Tribe chat, check-ins, and goals: deleted or anonymised within 90 days, unless retained for longer as part of a safeguarding record under the next point. 

- SOS and safeguarding records: retained for up to seven years from the date of the last relevant interaction, in line with common safeguarding practice in youth and community sport, so we can show how a concern was handled if ever required to. 

- Technical and usage logs: retained for up to twelve months. 

When we no longer need your information, we delete or anonymise it. 

10. Your rights 

Under data protection law, you have the right to: 

- access the personal information we hold about you, 

- ask us to correct inaccurate information, 

- ask us to delete your information, subject to certain exceptions, 

- ask us to restrict how we use your information, 

- object to certain types of processing, including processing based on legitimate interests, - receive your information in a portable format, and 

- withdraw consent at any time where we rely on consent, for example for Tribe matching or marketing communications.

To exercise any of these rights, contact us at privacy@retribecollective.com. We will respond within the timeframes required by law. 

If you are unhappy with how we have handled your information, you have the right to complain to your local data protection authority. In the Czech Republic, this is the Office for Personal Data Protection (Úřad pro ochranu osobních údajů). In the UK, this is the Information Commissioner's Office (ICO). 

11. Under-18 users 

ReTribe is intended for use by people aged 18 and over. If you are under 18, you may only use the App with the consent of a parent or guardian, who must agree to our Terms and this Privacy Policy on your behalf. 

Where a user under 18 signs up, our current working approach is to collect a parent or guardian's email address at registration and send a consent request to that address, which must be confirmed before the under-18 account becomes active. 

Where a minor uses the App with parental consent, we collect the same categories of information described above, and a parent or guardian may contact us at any time to access, amend, or request deletion of their child's information. 

If we become aware that a child under 18 has registered without the required parental consent, we will take steps to verify consent or remove the account. 

12. Cookies and similar technologies 

Our website uses essential cookies to help it function properly, and, on our current working assumption, Google Analytics cookies to help us understand how visitors use the site. Where we use any cookie that isn't strictly essential, you will be asked to consent through a cookie banner before it's set. 

You can control cookies through your browser settings, or by adjusting your choice in the cookie banner. Turning off non-essential cookies will not affect your ability to use the core parts of our website. 

13. App Store disclosures 

The ReTribe App is distributed through Apple's App Store and Google Play, both of which require us to be specific and accurate about the data we collect. 

We confirm that:

- we do not sell your personal information to third parties, 

- we do not use your personal information for third-party advertising, 

- the categories of data described in this Policy are the same categories declared in our App Store Privacy Nutrition Label and Google Play Data Safety section, and - at present, account creation uses email and password directly rather than Sign in with Apple or Google Sign-In; if that changes, this Policy will be updated to reflect it, 

If you have questions about how Apple or Google themselves handle data through their platforms, their own privacy policies apply to that part of the relationship. 

14. Security 

We use appropriate technical and organisational measures to protect your information, including encryption, access controls, and regular review of our security practices. No system is completely secure, but we take this seriously and will notify you and any relevant authority if a breach occurs that affects your information, as required by law. 

15. Changes to this Policy 

We may update this Policy from time to time. If we make material changes, we will let you know through the App or by email before the changes take effect. The date at the top of this Policy shows when it was last updated.
